FieldSync offers several universal account settings within the Admin Portal. These settings are only accessible by the Administrator, ensuring that they cannot be set/changed by just anyone.
When the FieldSync order is processed, the Account Administrator is automatically generated. Subsequently, this individual receives an email containing their login credentials for system access. The Administrator possesses complete permissions for software access.
Business Logo
With FieldSync, users have the capability to initiate email communications to their customers directly. Whether it's sending an Estimate or submitting an Invoice for payment, these actions can be seamlessly executed within FieldSync. Moreover, uploading a business logo ensures that company branding is integrated into these communications, enhancing professionalism and brand recognition.
Working Hours
Working Hours are implemented to prevent scheduling Jobs outside of business operational hours. For companies offering round-the-clock service, an 'Available 24 Hours' option is available to accommodate continuous service provision.
Currency
Estimates and Invoicing tasks can be conveniently managed directly within FieldSync. Setting the appropriate currency for these essential transactions ensures accuracy in company finances. FieldSync offers three currency options to choose from: US Dollar, Canadian Dollar, and Mexican Peso.
Drive Time
Considering travel time between jobs when scheduling assists in maintaining an accurate schedule and providing customers with precise arrival estimates. This ensures that technicians have adequate time to travel from one job to another, optimizing efficiency and customer satisfaction.
Press ‘Save’ in the lower right corner to retain any changes.
Reviews URL
As each Technician marks their Jobs ‘complete’ via the mobile app, a Thank You text to the customer will be triggered utilizing the phone number entered when the customer was created.
The message text is pre-set, however a custom URL for reviews can be added if desired.
SMTP Information
One advantage of FieldSync is its ability to handle electronic communications with customers, including Estimates and Invoices. To ensure consistency, SMTP settings are configured so that outgoing emails appear to come from your company address rather than from GPS Trackit.
SMTP is entered under the marked tab.
Notifications
A variety of notices are sent to Customers: Schedule Confirmation, On The Way, Next Day Schedule Reminder and Job Done. The default setting for these notifications is to send them via SMS message.
If desired, email can be utilized instead. Please be aware that this is an account wide setting. There is no mechanism whereby one Customer receives SMS messages while another receives email.
To switch a message type from SMS to Email, go to Notifications, then check the appropriate box and Save.
If Email notifications are selected, the SMTP settings will be used to determine the ‘send from’ address.
Schedule Slot Colors
Once Estimates and Work Requests have been assigned to Technicians, the Schedule section of the Back Office will be used to monitor their progress and input needed adjustments. The status of these assignments can be colored-coded, making the calendar easier to read. All statuses have the default color of Green.
To change a default color, locate the status in question on the list and click the dropdown, then select the new color. Be sure to save.
