Account Administrator
The initial User, set by GPS Trackit when the FieldSync account is created. The only credentials with the permissions to set and change the Account Settings, including Employee creation.
Admin Portal
The section of the FieldSync software where Account Settings, Employees, and Jobs are created as well the input of Account Settings. Only accessible by the Account Administrator.
Back Office
The section of the FieldSync software used by Coordinators to handle items such as the customer database, job scheduling, estimates and invoicing.
Billing Address
Address on file used for billing purposes. May not always match the Service Location for the Work Request.
Coordinator
An Employee set up for Back Office access, intended to handle items such as invoicing, customer database management, job scheduling, etc. Does not provide access to Driver App or Admin Portal.
Employee
A FieldSync User, set up as either an Account Administrator, Coordinator or Technician.
Estimate
Appraisals created by Technicians via the Driver App and submitted to Customers for approval, which then trigger Job scheduling.
Field Service Management
Strategies and technology that are used to organize and optimize business operations that take place in the field, rather than within the company office.
Invoice
Electronic bill submitted to Customer following the completion of the agreed upon work. Submitted either manually via FieldSync or automatically if Quickbooks integration has been applied.
Job
A work assignment that has been scheduled for a date/time and allocated to a Technician.
Past Due Invoice
Designation for an Invoice that has been sent within the past 14 days and is not yet marked "Paid".
Pricebook
An integration of the QuickBooks Products & Services feature, providing inventory management. Contains two elements: Inventory and Services:
- Inventory tracks the use of physical parts and equipment used and as Invoices are submitted updates the Quantity on Hand data.
- Services are pre-defined jobs including their expected cost and duration, used to expedite scheduling Work Requests.
Outstanding Invoice
Designation for an Invoice that has been sent more than 14 days ago and is not yet marked "Paid."
Service Location
Reflects the physical location for Estimates or Work Requests to be performed.
Skillset
Organizational tools which are applied to Technicians. Primarily used to indicate which Technicians can perform which jobs as well as their geographic availability, all of which is utilized during the scheduling process. Similar to the GPS Trackit Tags function.
Technician
Employee type that will utilize the Driver App and is assigned Jobs and Estimates to perform.
Work Requests
Work assignments for Technicians. Can be manually input or generated via Estimate. Tracked on Schedule once assigned.
