Effective FieldSync schedule management is essential for maximizing operational efficiency, minimizing costs, and delivering high-quality service to customers in a timely manner. Once Estimates and Work Requests have been assigned to Technicians, the Schedule section of Back Office will be used to monitor their progress and input needed adjustments.
Schedule is accessed by Coordinators and the Account Administrator.
To view the currently assigned Estimate and Work Requests click Schedule on the left-hand menu.
The schedule will default to the current date. To change the displayed date, use the calendar drop-down.
To change the time slots displayed, use the scrollbar along the bottom of the page.
Each active Technician will be displayed along the left-hand side with their assignments shown in a horizontal bar.
Blocked time, such as drive time allowance and scheduled breaks will be shaded out for each Technician.
Technicians will update their mobile app throughout the day, indicating their progress in completing these assignments. Click on the Work Request to view the progress.
Changes can be made to the Work Request by clicking on the Job number.
Work Requests can be canceled or rescheduled as needed prior to the Technician indicating on the app that the job has been started. To cancel a Work Request, press the ‘Cancel Schedule’ button. To reschedule a Work Request, drag and drop them on the Schedule. The updates will automatically appear for the Technician on their mobile app. Please be advised that Work Requests cannot be canceled or rescheduled once the Technician has begun.
In FieldSync, a repeating schedule item can be created and used regarding services or maintenance tasks that need to be performed on a regular basis. This helps ensure preventative maintenance is addressed in a timely manner to keep equipment or systems running smoothly. For example, scheduling routine HVAC maintenance.
Work Requests can be scheduled to repeat once it has been initially scheduled. Setting the ‘repeat’ request must take place prior to the Technician starting the initial Work Request.
Locate the Work Request on the Schedule and click the job number.
Next, click ‘Repeat this Schedule’. A pop up will appear. Fill in both fields: Repeat Every and Ends On, then press Save.
Repeating Work Requests must be rescheduled or canceled on an individual basis using the instructions outlined above.
