The Maintenance tab provides fleets with the tools to take control of their vehicle and driver service needs. Administrators can use this tab to assign reminders for regular vehicle servicing and driver compliance tasks. Once assigned, those tasks display in the Vehicles and Drivers tabs; providing an at-a-glance view of pending service needs.
Maintenance also allows fleets to enroll required vehicles for regular emissions checks in compliance with the California Air Resources Board's Clean Truck Check program.
Glossary
Add : Creates a new value in the active tab.
Filter : Sorts results based on Tag assignments. Provides contextual filtering options for the Vehicles and Emission Check tabs.
Delete : Visible in the Services and Emission Check tabs. Removes an item from the active tab's list.
Export : Downloads listed data from the active tab in a CSV or PDF file format. In the Vehicles tab an upcoming maintenance schedule can also be exported.
Import : Adds vehicles to the Emission Check tab via CSV file. File templates provided in the Import menu panel.
Settings : Visible in the Vehicles, Services, and Emission Check tabs. Provides editing and deleting options along with contextual tasks for the active tab.
Edit : Visible in the Drivers tab. Opens the Manage Tasks menu for driver profiles.
Manage Service Items/Tasks : Visible in the Services and Drivers tabs. Opens a menu that allows users to create and edit Service Items and Driver Tasks.
Task Note : Visible in the Services and Drivers tabs. Clicking this icon will open the Notes section of any created service or driver task.
Subscribers : Visible in the Services and Drivers tabs. Clicking this icon will open the Subscribers section of any created service or driver task and list assigned contacts.
ECU : Indicates that the installed GPS unit gathered this value from the vehicle's ECU.
Using the Maintenance Tab
To make fleet needs more readable the Maintenance tab consolidates data based on the type of service required.
Vehicles
The Vehicles tab is where accounts can view pending service tasks and history of the vehicles within a fleet.
In order to fully use the Vehicles tab, Services and Service Items need to be created in the Services tab.
Dashboard
By default, the dashboard lists vehicles based on the next due date of their assigned services. At a glance the dashboard provides engine related data including Engine Hours, Odometer, and Diagnostic Troubleshooting Codes (DTC).
From the dashboard, users can mark maintenance tasks as complete, assign scheduled service events, and view scheduled services, diagnostic history and vehicle overviews. Results can be adjusted with the Advanced Filters menu.
Scheduled and Completed Services
Clicking on a vehicle's name or clicking Settings > View Scheduled Services will open the Scheduled and Completed Services page for a vehicle.
The top of the screen will display information related to the vehicle's Make, Model, Year, ECU, and VIN data; along with any assigned Tag or driver profile.
The page is then split into two sections: Scheduled and Completed. The columns listed in these sections are based on what values were selected when the attached service was created.
Scheduled 
Scheduled will list any pending vehicle service task. Administrators can use this screen to mark complete, edit, export task overviews, or delete listed services attached to the vehicle.
Completed 
Completed lists the service history of a vehicle. Administrators can use this screen to edit, export task overviews, or deleted service events.
How to Schedule Services
Services can be scheduled from the Vehicle tab or from a vehicle's Scheduled page.
From the Vehicle Tab
- On the vehicle's line click Settings

- Click Schedule Service.
From the Scheduled Page
- Click Add
.
Schedule Service
- Fill in the following required fields:
- Service: Click the drop menu and choose a listed service.
- Date of last service: Click the calendar icon
and select the date the vehicle last received this service.
- If necessary, fill in any of the optional fields:
- Add Service Items: If the service requires item replacement, click the drop menu and select the appropriate items. Once selected, estimate the cost for the Parts and the Labor needed.
- Attachment: Click the + icon to browse for any external file or image that may provide additional context to the service.
- Subscribers: Click the drop menu. Choose which contacts should receive alerts and when.
- Notes: Enter any notes pertinent to the vehicle or the service being done.
- Click Schedule.
How to Complete Services
Services can be completed from the Vehicle tab or from a vehicle's Scheduled page.
From the Vehicle Tab
- On the vehicle's line click Settings

- Click Complete Maintenance.
- If the vehicle has multiple services attached click the arrow
icon for the service being marked completed.
From the Scheduled Page
- On the service's line click Settings
.
- Click Complete.
Complete Service
- Click the calendar icon
and select the Date the service was completed.
- Fill in any required value.
- If necessary, fill in any of the optional fields:
- Add Service Items: If the service required item replacement, click the drop menu and select the appropriate items. Once selected, list the cost for the Parts and the Labor needed.
- Attachment: Click the + icon to browse for any external file or image that may provide additional context to the service.
- Notes: Enter any notes pertinent to the vehicle or the service done.
- Check the Re-Schedule Next Maintenance box if the Service repeats.
- Click Complete.
Services
The Services tab is where administrators can create the vehicle maintenance reminders that can be attached to assets the Vehicles tab.
Services are the overall maintenance reminders.
Service Items can be used to provide additional steps or call out specific parts that need to be replaced in a Service.
How to Add a New Service
- Click Add
- Fill in the following required fields:
- Service Name: Enter the name of the maintenance event.
- Interval Type: Click the drop menu and choose if the event tracks Miles driven, Days elapsed, or Engine Hours.
- If necessary, fill in any of the optional fields:
- Estimated Cost: How much the servicing is expected to cost.
- Subscribers: Click the drop menu. Choose which contacts should receive alerts and when.
- Attachment: Click the + icon to browse for any external file or image that may provide additional context to the service.
- Add Service Items: Click the drop menu and select any Service Item that will be associated with the Service.
- Notes: Enter any notes pertinent to the Service.
- Click Add.
How to Add a Service Item
- Click: Manage Service Items
.
- Click New.
- In the Service Item Label field enter the name of the service item.
- Click Save.
Drivers
The Drivers tab allows administrators to create and assign driver-specific service tasks to profiles in their account. Once assigned, the Drivers tab will list how many tasks have been assigned to a driver and their pending due date.
How to Add a Driver Task
- Click Manage Tasks
.
- Click New Task.
- Fill in the following required fields:
- Task Label: Enter the name of the driver task.
- Repeat: Click the drop menu and select a time unit.
- Frequency: Enter a value for how often the task should repeat based on the selected time unit.
- If necessary, fill in any of the optional fields:
- Estimated Cost: How much the task is expected to cost.
- Attachment: Click the + icon to browse for any external file or image that may provide additional context to the task.
- Notes: Enter any notes pertinent to the driver task.
- Click Add.
How to Schedule a Driver Task
- Click Add
.
- Fill in the following required fields:
- Driver: Click the drop menu and select a driver profile.
- Task: Click the drop menu and select a task.
- Repeat Every: Click the Time Unit drop menu and select an option. Then enter a value the Frequency field.
- Due Date: Click the calendar icon
and select the date the Driver Task needs to be completed.
- Reminder Alert: Enter the time when a Reminder alert will be sent.
- Past Due Alert: Enter the time when a Past Due alert will be sent.
- If necessary, fill in any of the optional fields:
- Estimated Cost: How much the task is expected to cost.
- Subscribers: Click the drop menu. Choose which contacts should receive alerts and when.
- Attachment: Click the + icon to browse for any external file or image that may provide additional context to the task.
- Notes: Enter any notes pertinent to the driver task.
- Click Add.
How to Manage Driver Tasks
Move the mouse cursor over a driver's line and click Edit to open the Manage Tasks menu. This menu will display all the Driver Tasks currently assigned to the driver in a tile format.
How to Complete a Driver Task
- On the Driver Task tile click To Complete

- Click the calendar icon
and select the date the task was completed.
- If necessary, fill in any of the optional fields:
- Actual Cost: Enter the cost for the Driver Task.
- Attachment: Click the + icon to browse for any external file or image that may provide additional context to the task.
- Notes: Enter any notes pertinent to the driver task.
- Check the Reschedule Task box if the Driver Task repeats.
- Click Complete. If the Reschedule Task box was checked click Complete & Reschedule.
How to Edit a Driver Task
- On the Driver Task tile click Edit

- The Driver Task settings will open. After editing options make sure the following values are filled in:
- Repeat Every.
- Due Date.
- Alerts.
- Click Update.
How to Delete a Driver Task
- On the Driver Task tile click Delete
.
- Click Delete.
Emission Check
Emission Check is Zonar's compliance solution for the California Air Resource Board (CARB)-mandated Clean Truck Check Program (CTC). This program works with Zonar GPS units to automate the compliance processes.
The CTC regulation applies to 2013 and newer, Class 4-8, non-gasoline vehicles weighing 14,000 lbs or greater. Two protocols are approved by CARB for capturing emissions data: J1939, J1979.
Administrators can use Emission Check by importing their vehicle information to the Emission Check tab. Zonar Ignition will match these vehicles with active Units in the account and prompt their installed GPS units to conduct the engine scans required by the Clean Truck Check program.
When a scan is conducted Emission Check will mark when the scan occurred in the Last Scan Date column and the result in the Last Scan Status column.
Scans Statuses can be one of the following:
- Requested: A manual scan has been requested and is awaiting unit availability to commence scan.
- Complete: Scan has completed. Not all scans are required to be submitted to CTC.
- Submitted: Scan has been submitted to CTC, pending results.
- Pass: Scan has been returned and has failed compliance.
- Fail: Scan has been returned and has failed compliance.
- Error: An error has occurred. Please view the scan details for more information.
How to Import Vehicles to Emission Check
- Click Import
.
- Click Download template and save the CSV file to your computer.
- Fill in the required columns of the CSV file with the vehicle's information:
- VIN: Fixed length:17 characters
- Registration State: Use the 2-character abbreviation for the state.
- Registration Country: Use the 3-character abbreviation for the country.
- Registration Expiration Date: Use the YYYY-MM-DD format for the date.
- Enrolled: Set to TRUE to enroll the vehicle. Set to FALSE to deactivate the vehicle.
- Save the CSV file to your computer.
- Click the + icon on File and attach the edited CSV file.
- Set the Delimiter to Comma.
- Click Upload.
How to Set a Scan Deadline
- On the vehicle's line, click Settings
.
- Click Edit.
- In the Next Deadline field click the calendar icon
and select a date.
- Click Save.
How to Request an Off-Cycle Scan
- On the vehicle's line, click Settings
.
- Click Scan.
